Common issues with Appointment Settings and how to fix them.


Agent Is Not Offering Any Time Slots

Problem: The agent says no slots are available even when the calendar should be open.

Check these:

  • Go to Availability and confirm your working days and hours are set and saved
  • Make sure the date the customer is requesting is within your Maximum Advance Booking limit (default: 10 days)
  • Check that Appointment Types are configured — without them, there are no slots to offer
  • If all slots are booked, the agent correctly says none are available — check the calendar in Dashboard → Appointments

Agent Is Booking Outside Business Hours

Problem: An appointment was booked at a time you are not available.

Check these:

  • Go to Availability and verify your working hours are saved correctly
  • Check for any Date Override that may have set unexpected custom hours
  • Make sure the timezone in your account settings matches your actual location

Customers Can Book Too Far in Advance

Problem: Customers are booking appointments months ahead.

Fix:

  • Go to Booking Rules → Maximum Advance Booking and reduce the number of days
  • Default is 10 days — adjust this to whatever works for your business

Agent Is Allowing Last-Minute Bookings

Problem: Customers are booking appointments with very little notice.

Fix:

  • Go to Booking Rules → Minimum Notice Required and increase the value
  • Default is 2 hours — set it higher if you need more preparation time

Duplicate Appointments for the Same Customer

Problem: The same customer has multiple active appointments.

Fix:

  • Go to Booking Rules → Allow Duplicate Booking and toggle it off
  • The agent will then prevent the same customer from booking again if they already have an upcoming appointment

Notifications Not Being Sent

Problem: Customers are not receiving confirmation or reminder messages.

Check these:

  • Go to Notification Settings and confirm reminders are turned on
  • Go to Dashboard → Integrations and verify WhatsApp and email are connected
  • Check that the customer's phone number and email are saved correctly in the appointment
